This position serves as an administrative assistant for different branches and offices within CDC-Mozambique. The administrative assistants are directly supervised by the Senior Administrative Assistant under the Management and Operation Branch but are assigned to the different program branches. Consequently, they receive overall and daily work guidance from the designated Program Branch Chief and perform programmatic and administrative support duties to support the overall branch. The incumbent manages administrative support for the programmatic branches, including maintaining up-to-date contact lists, coordination of calendars and meeting schedules, assisting with travel preparation, procurement requests, human resource requirements, coordinating TDY calendar and logistic support for TDYers, photocopying and maintaining minutes of official meetings. The incumbent also provides logistical and administrative support for coordination of conferences and meetings for the program branches related to PEPFAR. Updates and maintains Branch administrative files.
Qualifications and Evaluations
EXPERIENCE: A minimum of three years of administrative or secretarial experience is required.
JOB KNOWLEDGE: The incumbent must have a thorough knowledge of all aspects of administrative and office support processes, including secretarial support for professional staff, procurement, arranging and processing travel support, coordination of motor pool support, and procedures for processing time and attendance and personnel actions. In addition, the job holder must be thoroughly familiar with CDC and US Government administrative policies and procedures and the structure and functions of CDC Mozambique. The incumbent must also be familiar with the Government of Mozambique operating environment as well as the Mozambique business environment to effectively perform the duties and responsibilities of the position. Should have standard knowledge of office technologies such as a PABX, copiers, computers, fax, and scanners.
Completion of Secondary school or 12th grade level is required.
LANGUAGE: Level III (Good Working Knowledge) speaking/reading/writing of English is required . This will be tested.
Level IV (Fluent) speaking/reading/writing of Portuguese is required. This will be tested.
SKILLS AND ABILITIES: Strong interpersonal skills to work with all levels of staff within CDC. A high level of oral and written communication skill is required to provide guidance and support to Program Branch staff. Ability to coordinate and provide excellent customer service support. Customer services with external clients is important for the position holder in order to portray a positive organizational image externally and internally. Must possess good working knowledge of computer software programs like word processing PowerPoint, and Excel, and be capable of typing 40 wpm. Basic skills in calculations.
