The Team Assistant role is to provide improved, professional and efficient support service to both BP customers and internal employees.

Key accountabilities:

Team Assistant

  • Answer the telephone promptly in a professional and friendly manner;
  • Ensure that internal telephone directories are kept up to date;
  • Make all staff announcements (e.g. meetings);
  • Keep abreast of the Organisational structure of BP so that calls may be redirected effectively.
  • Meet and greet customers who visit our offices;
  • Connect calls for internal staff whose phones are barred for international and national dialling.
  • Answer customer calls and try to solve their queries;
  • Issue Purchase Requisitions in Fraxion program for preventive, corrective maintenance and projects;
  • Manage Purchase Order’s (PO) of preventive, corrective maintenance and projects;
  • Ensure closure of the out-of-pocket PO’s;
  • Receipt invoices on the systems (partial or total receipt);
  • Manage the contractor’s statement and perform weekly payments update;
  • Mange payments to providers in the Head Office;
  • Manage contract with telecom operations Company, including cell phone and sim card allocations;
  • Issue invitation letters when needed;
  • Manager stock of consumable;
  • Preparing credit cards justification for Leadership Team;
  • Manage Hotel Reservation for Leadership Team;
  • Manage transport for the team;
  • Booking and tickets for travelling;
  • Facility support;
  • Provide local treasury support.

Essential Education:

  • Degree in Business Management or equivalent.

Essential experience and job requirements:

  • At least 2 years in a similar role.
