How can you make a difference?

The Administrative Associate reports to the Senior Administrative Associate, undertakes travel support services in Mozambique Country Office and the Zonal Offices, the incumbent assists in ensuring efficient and cost-effective travel support services, providing guidance to staff as well and supporting staff in office administrative assignments. Ensures the office’s administrative operations and services are in compliance with the organization’s administrative policy, procedures, rules and regulations.

Management of Travel

  • Provides travel assistance to staff members in section for travel arrangements and entitlements based on the organization’s rules and policies. Liaises with relevant travel focal points to ensure that the organization obtains the best service and price for all travel.
  • Briefs/de-briefs staff members on issues relating to related administrative matters such as visas, security clearance, and documentation procedures.
  • Extracts, inputs, maintains, and verifies correctness of travel records in the organization’s travel system to ensure accurate transactions related to travel costs and staff travel.
  • Assists in the preparation of budgets on travel costs and maintain travel plan and budgetary control records.
  • Monitors travel certifications.
  • Reviews approved Travel Authorizations (TA) and Travel Claims (TC), verifies correct travel entitlements calculations and posts for payment.
  • Use directly online flight booking software platform for all international and domestic flights booking.
  • Timely & efficient travel support using car rentals, according to UNICEF policies and procedures to support UNICEF Mozambique Country Office and Zonal Offices.
  • Maintains files and records related to travel.
  • Advises staff on visa and vaccination requirements of countries to be visited and ensures that application forms are completed correctly with accompanying material.

Invoice Processing

  • Responsible for collecting invoices and filing documents for approval and, thereafter processing in VISION.
  • Uploads electronic files and verifies results to destination system.
  • Responds to client transaction status and other inquiries.

To qualify as an advocate for every child you will have…

  • Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
  • A minimum of six (6) years of relevant experience, at the national and international levels, in supply, logistics, procurement, contracting, administration and/or other directly related technical fields is required.
  • Experience in a UN or international organization is an asset.
  • Experience in development and humanitarian work is an advantage.
  • Language Fluency in English and Portuguese is required.

UNICEF appointments are subject to medical clearance.  Issuance of a visa by the host country of the duty station, which will be facilitated by UNICEF, is required for IP positions. Appointments may also be subject to inoculation (vaccination) requirements, including against SARS-CoV-2 (COVID). Government employees that are considered for employment with UNICEF are normally required to resign from their government before taking up an assignment with UNICEF. UNICEF reserves the right to withdraw an offer of appointment, without compensation, if a visa or medical clearance is not obtained, or necessary inoculation requirements are not met, within a reasonable period for any reason.

There will be no relocation package offered for this post. The successful candidate will be responsible for his/her own relocation and settlement in the city where the post is based.
